This role sits within the Workforce Planning department and is a very fast paced role. We are looking for a strong administrator with excellent attention to detail and organisational skills, to provide support the WFP team. You will be managing Law consultant's diaries, updating multiple systems, dealing with phone and email queries amongst other duties. Job Overview
To prioritise workforce optimisation of tasks within the Legal Services Department. Have the
ability to work with various systems re data entry and auditing. Confident and effective
communicator as you will be required to speak daily with Legal Experts over Teams
and face to face re the management of their workloads.
You will have prime responsibility for processing our communications for both our internal
and external clients and other relevant parties, as well as support the new work and
handover processes, billing, insurance queries and support, and updating and closure of
files whilst ensuring the accuracy of data relating to ongoing matters or following their
conclusion.
Day-to-Day Responsibilities
* Co-ordination of Legal Experts' diaries and the ability to prioritise their workloads
effectively.
* Administrative tasks such as case reviews, gathering important information from
emails and teams' requests, then inputting data into various systems.
* Auditing and housekeeping tasks from numerous systems.
* Logging-in and allocation of cases.
* Contract checks and reviews.
* New-work and Cases' handover processes.
* Liaising frequently with Legal Experts over teams, email and face to face regarding
their workloads and requirements.
* Inbound calls and outbound calls to Clients, Legal Experts and Tribunals. The need
for the calls is to usually gather information to allow the Department to plan and run
more effectively.
* Chasing clients in arrears; checking any exited clients against live tribunals and
providing details to Finance for clients who require additional invoicing.
* Provide support to the Workforce Planning Litigation Manager as required and to
provide support to the Client Liaison Team as needed to deputise in their absence.
* Meet departmental and company protocols and KPI's.
* All written client correspondence to contain clear, accurate and thorough information
and meet required company standards.
