Key Responsibilities:

  • Accurate Record Management: Maintain and update service logs, client records, and job orders with precision.
  • Work Schedule Preparation: Develop and distribute work schedules for engineers, tracking progress and ensuring timely job completion.
  • Professional Client Interaction: Handle incoming calls with professionalism, addressing client inquiries and scheduling service visits.
  • Document Preparation: Create reports, documents, and correspondence using Microsoft Office Suite.
  • Seamless Coordination: Liaise with engineers, internal teams, and customers to ensure smooth service execution.
  • Workload Monitoring: Adjust engineer workloads to optimise field operations and enhance productivity.
  • Organised Document Control: Maintain an organised document control system, ensuring easy access and accuracy.
  • Parts Management: Organise the posting of parts to customers and engineers as required.
  • Process Improvement: Identify inefficiencies and implement solutions to enhance service processes.
  • General Administrative Support: Provide comprehensive administrative support to ensure the smooth operation of the service department.

Qualifications:

  • Administrative Experience: Proven experience in an administrative role, preferably within windows and doors manufacturing, installation, or related industries.
  • Scheduling Expertise: Experience in scheduling or coordinating field-based teams, preferably service engineers.
  • Microsoft Office Proficiency: Strong skills in Microsoft Office Suite (Excel, Word, Outlook) for document preparation and data management.
  • Organisational Skills: Exceptional organisational skills with the ability to manage multiple schedules and priorities.
  • Attention to Detail: High level of accuracy in data entry and record-keeping.
  • Communication Skills: Excellent written and verbal communication skills to liaise effectively with clients and engineers.
