Job Description :
Team Assistant - TechnologyThe RoleTo provide administrative support to the technology department and technology's senior management team.
  • Team management: Line management of another Team Assistant in Technology, planning resources effectively and contributing to their learning and development.
  • Clients: Arranging client meetings, organising rooms and refreshments.
  • Meeting administration: Assist in scheduling internal and external meetings and interviews, meeting rooms and VC when needed. Collation of meeting packs and recording of minutes.
  • Departmental administration: Ensuring the smooth running of the department on a daily basis, including but not limited to maintenance of a department-wide calendar, dealing with ad hoc requests, ordering supplies, and processing invoices in Workday. Identifying opportunities to improve administrative procedures and taking the initiative to suggest ways of working more effectively.
  • Travel: Arrange travel for team members including air, rail, car service, hotel and conference registrations, preparing detailed travel agendas.
  • Administrative back-up: On-site support for events, coverage during holidays and times of absence to ensure uninterrupted flow of operations.

  • Experience of providing administration assistance in at least one organisation.
  • Proficient in Microsoft Office: Outlook, Word, Excel, PowerPoint as well as Slack for day-to-day communication
  • Ability to multi-task and priortise own workload effectively, adapting to shifting priorities
  • Attention to detail, speed, accuracy and ability to pick things up quickly
  • Enthusiastic and robust team player - willing to be flexible to the requirements of the team
  • Ability to research, gather, analyse, collate and present information as required.
  • Excellent English and communication skills
  • Assertive, reliable, resourceful
