Are you an experienced Executive Assistant looking for an exciting opportunity to work alongside C-suite executives and support their global team?
We are seeking a proactive and enthusiastic EA to join our client's organisation in London.
Responsibilities:
- Diary, Travel Management, and Expenses: Efficiently manage the schedules and travel arrangements of our Executive and Leadership Team, maximising their productivity. This includes coordinating appointments, meetings, venues, and events. You'll also be responsible for tracking and filing expense reports.
- Communications & Document Preparation: Assist in developing and distributing meeting agendas and decks, drafting communications, and preparing relevant materials. Your attention to detail and professional approach will ensure that all participants are well-informed. You'll also handle regular appointments, capture and assign actions, monitor deadlines, and manage client email requests.
- Relationship Management: Engage confidently with leaders, clients, and stakeholders, building strong and enduring relationships that reflect positively on our client's organisation. You'll provide exceptional support to your stakeholders by streamlining processes, collaborating with other support executives, and utilising your excellent interpersonal skills. In addition, you'll be willing to support other Executives and contribute to the office experience when required.
- Task Management: Effectively plan, execute, and prioritise tasks and projects, taking into account cross-cutting priorities and the impact of key stakeholders. As a proactive team member, you'll take the initiative when necessary, assign/delegate tasks, communicate follow-ups, and update project plans.
- Events and Culture: Take charge of organising and executing team activities, both internal and external. This includes staff meetings, on-sites/off-sites, and social events. Your collaboration with internal partners and external vendors will ensure smooth logistics and a positive experience for everyone involved.
About you:
- Experience: You have a minimum of 4+ years of proven experience as an Executive Assistant, supporting senior executives and contributing to improved productivity.
- Organisational Skills: You possess exceptional organisation and time management skills, allowing you to effectively prioritise tasks, handle diverse demands, and consistently meet deadlines even under pressure.
- Technical Proficiency: You are proficient in various tech platforms, including Google Workspace, Coda, Zoom, Slack, and other relevant software. You're also open to learning new platforms and finding opportunities for automation.
- Communication Skills: Your warm and approachable personality is complemented by excellent verbal and written communication skills. You have the ability to interact confidently and professionally with individuals at all levels, including C-Suite Executives and external stakeholders.
- Initiative and Pro activity: You demonstrate a strong sense of initiative, working independently and taking ownership of your tasks and environment. Your proactive approach allows you to predict needs and address challenges with a positive and solutions-oriented mindset.
- Trust and Confidentiality: You understand the importance of discretion, trust, and responsibility when handling sensitive and confidential information. Your diligent attention to detail ensures that you uphold the highest standards of professionalism.
