Temporary Team Assistant

One of our clients, a financial investment management company, based in London are currently seeking a professional, energetic, and detail-oriented individual to fill a Temporary Team Assistant role. You will be well educated with a bachelor’s degree which is preferred and report in to the Global Head of Institutional Marketing with a dotted line into International Institutional Sales Executive Assistant and HR. Candidates must possess the professional maturity to handle confidential and delicate client issues and internal matters. The individual should be excited to work full time in a high energy, fast-paced environment.

Duties Include:-

  • Full administrative support for Global Head of Institutional Marketing
  • Supporting the wider International Institutional team on an ad-hoc basis - travel and expenses
  • Supporting the Institutional Sales Executive Assistant with travel and roadshow management
  • Creating detailed trip schedules (UK&International)
  • Booking restaurants/taxis/conferencesetc.
  • Inputting/submitting expense reports
  • Diary management as requested
  • Printing and binding presentations/sending materials in advance of meetings (Internationally)
  • Contact management-experience of Salesforce a plus
  • Schedule conference calls and video conferences as requested
  • Schedule meeting rooms for internal meetings as requested
  • Manage and maintain appointments for team members (internaland external)
  • Assist co-ordination of larger events including board meetings
  • Operate a multi-line switchboard and transfer calls
  • Establish strong working relationships with team members throughout the organisation
  • Perform all other projects/responsibilities as assigned

HR Support:

  • Assist with the Summer Analyst recruitment life cycle including, blanket responses, interview scheduling, career fayres and programme events scheduling
  • Schedule internal and external candidate interviews - Proactively communicate with candidates, agencies and interviewers during scheduling process
  • Schedule trainings and other internal meetings ad hoc if needed
    • Must be highly organised,efficient and a problem solver
    • Have the ability to work independently and proactively on requests
    • Have the ability to work well in a team environment
    • Superior written and verbal communication skills
    • Maintain the highest standards of poise and professionalism when interacting with clients, colleagues and vendors
    • Exhibit excellent client service skills, manage deadlines well, maintain a highly professional appearance and pay close attention to detail
    • Strong working knowledge of Microsoft Office; Sales force or similar CRM system knowledge a plus.

This role, will be required to work full time in their London Office.

Salary : 40000 - 45000
