Training Administrator

- Working Hours: 37.5 hours per week (flexible, e.g., 8:30am-4:30pm or 9am-5pm)
We are seeking a dedicated Training Administrator to support our Training Team, which delivers a broad spectrum of training. The ideal candidate will be the backbone of the team, providing efficient administration and ensuring the smooth operation of all training activities.
Day-to-day of the role:
- Serve as the first point of contact for course bookings and administration, including producing delegate lists, invitations, joining instructions, and certificates.
- Manage internal and external course bookings efficiently, maintaining our training calendar and reporting as required.
- Assist with data entry and administrative tasks for the implementation of our new induction system, ensuring accurate data input and database integrity.
- Update in-house trainers on attendee numbers and manage course promotions and cancellations as necessary.
- Prepare and ensure the accuracy of all delegate training packs, maintaining consistency and correct branding.
- Complete post-course administration, including issuing certificates, distributing materials, and collating feedback.
- Update employee training records accurately on manual and internal systems, liaising with trainers and external bodies to confirm attendance and certificate accuracy.
- Contribute to the development and maintenance of our online training system, aiming to become the system expert.
- Monitor email inboxes, respond to inquiries, and work with the Accounts Team to manage invoices and payments.
- Collaborate with internal managers to meet staff training needs and monitor feedback to address any concerns.
- Capture and record training client data in line with GDPR and organisational policies.
- Assist in maintaining and delivering the monthly training schedule.
- Support the HR team with the efficient registration of new starters on online platforms.
- Keep the Training and Development Lead informed of activities and escalate any concerns.
Required Skills & Qualifications:
- Proven experience in an administrative role, preferably within a training environment.
- Strong organisational skills with the ability to manage multiple tasks efficiently.
- Excellent communication skills and professional telephone manner.
- Proficiency in using office software, including databases, and the ability to learn new systems quickly.
- Attention to detail and commitment to maintaining high standards of data accuracy.
- Knowledge of GDPR and data protection policies.
- Ability to work flexibly and adapt to changing priorities.
