Job Overview

Responsible for the relationship between The Company, our Clients and Agencies. The role will require attention to detail and assertiveness to coordinate bookings and complete data entry. The role will involve working with all staffing groups and contracts.

The quality of service delivery is essential, the ability to build rapport and deliver excellent customer service is a must at all times.

Duties and Responsibilities

Operational Delivery

· To answer and respond to telephone calls and emails

· To keep all relevant parties informed always of contact progression and ensuring visibility of all eventualities

· Maintain records

· Liaise with approved agencies to quickly fill bookings.

· Ensure suitability of candidates before making a booking by checking relevant experience, qualifications and compliance documentation against the role specification

· Accurately inputting data into booking systems

· Maintain client contact information

· Adhere to all Trust policies and procedures in relation to booking bank and agency staff, including HR Policies and those relating to temporary staffing

· Producing clear and precise handovers to the on-call team to cover bookings overnight

· Continuously work to build excellent working relationships with Staff bank members on the bank, ward staff, external agencies, Payroll, On call Team and Agency Liaison Team. This will include face to face meetings

· Meet KPI’s set by Team Leader and management

· Complete ad-hoc projects assigned by the team leader or manager in addition to above day to day tasks

Clinical Governance/Quality Assurance

· Day Webster and client policies and procedures relating to bookings must be followed

· Trusts that have authorised approval processes must be followed and any discrepancies reported to management

· Effective and professional problem and complaint solving

· Monitoring of Working Time Regulations (WTR)

· Participate in and be available for routine operational reviews and audits

· Highlight any concerns relating to fraudulent activity in relation to candidate bookingsEmployee Responsibilities

· To contribute to a seamless booking process all VMS contracts.

· Follow processes, highlighting any areas of improvement to the manager

· To work as a team providing training and development support to other team members.

· Ensure all tasks are carried out without error

· Communicate and build rapport effectively with trust departments and agencies to secure contract relationships.

· To strive for the best booking processes amongst our competitors

· To improve personal efficiencies to enable growth of VMS contracts requiring minimal additional resources

· To have maximum understanding of all processes indirectly and directly affecting the team for all contracts.

· To be competent to work on all contracts and be flexible to move around work on each contract.

· Be able to confidently provide support and additional resource to cover team members leave.

The right candidate will have excellent communication skills, be able to follow processes and be adaptable to any new changes within the team or our processes. Must have a great attention to detail, a positive attitude, be able to meet deadlines and work well within a team. Admin experience isn't a necessity, but it is preferable.
